CLUB RECORDS
User guide
Instructions for everyday use.
Getting started
- The system administrator creates the organization and its main account. Sign in with the username and password you receive.
- The main account enters the name, address and logo in Club details. A PNG or JPG logo may be up to 1 MB. The name and logo appear in the application and on the register cover.
- The Srpski / English selection applies to this browser and is remembered after sign-out. Choose the language separately on another device.
Main account and coaches
- The main account has full access within its organization. In Coach accounts it can add coaches, reset temporary passwords and activate or deactivate access.
- Coaches can add new members, record membership fee payments and save attendance. The main account manages administrative changes, documents, finance and reports.
- Each person uses their own account. Passwords contain 12–128 characters. Coaches replace their temporary password at first sign-in. Each club sees only its own records.
Members and register details
- In Members choose New member. Enter first name, last name and registration number, then status and other details. The main account can edit the member profile later.
- Complete Membership register details to include a member in the register. Enter membership category, entry date and data source, and enable adding or updating the member in the register.
- Examination history stores date, grade, result, instructor and certificate number. Historical examinations do not create invoices.
- Double-click a row that supports editing to open its form. On a phone, use the Edit link.
Training attendance
- The main account first adds sessions, weekdays, times and venue addresses. The calendar shows only scheduled weekdays, ordered Monday through Sunday.
- Choose the session and training date. If several sessions share a weekday, choose the correct session in the list. Future dates are unavailable for entry.
- Mark members who are present and click Save attendance. Present status is confirmed only after saving. A member without a saved checkmark is Absent.
- If another user changes the records, the application asks you to refresh. Review the list again before saving.
Membership fees and finance
- For a new membership fee payment choose the member, year and month covered. Enter amount, RSD or EUR, payment date and method, then save.
- Correct a mistake by editing the payment. Cancellation preserves the entry but excludes its amount from paid totals.
- The main account records other income and expenses in Finance. Income totals include membership fee payments and paid invoices. RSD and EUR are tracked separately without automatic currency conversion.
Membership register and reports
- The Membership register lists individual and legal entity entries. Register PDF downloads completed forms with the organization’s name and logo.
- The prescribed membership register forms remain in Serbian when using the English interface. Entered data remains in its original form.
- Entries have permanent numbers. Changes remain in the revision archive. Record membership termination by editing the end date.
- Membership fee, unpaid member and attendance reports are available to the main account. Other record sections provide PDF and Excel reports and date filters.
Seminars, examinations and documents
- Add participants and training counts to a seminar. Add candidates, grades and results to an examination. Passed grades are added to the member profile.
- In Documents enter the document details, then add an attachment. PDFs may be up to 5 MB and PNG or JPG images up to 1 MB. Attachments are available to your organization’s main account.
- Groups, instructor profiles and member status history are available in the administrative records.
Exchange and Windows database import
- Import and export uses JSON packages containing membership register details and registration numbers. Export is not a complete application backup.
- To transfer a Windows club database, upload the .db file from a backup. Choose the source club, review record counts and then confirm the import.
- The target club’s records must be empty. Import preserves a backup, existing accounts and logo. Upload old attachment files separately. There is no automatic synchronization with the Windows application.
- A federation imports membership register packages from clubs. Automatic transfer of a full Windows federation database with historical invoices is not supported.
Using a phone
- Open the application in your phone browser and sign in. Choose Add to home screen or Install app in the browser menu if available.
- An internet connection is required. Wait for confirmation that changes were saved before closing the page.
